General information about dispensation

A dispensation  is defined as permission to be excused from the rules and regulations for a course. You may, for example, apply to get more time for an examination, to take a re-exam from your home country or to have an exam moved, because you have two exams at the same time. 

You may apply for exemption if there are circumstances that prevent you from being able to comply with the rules that are applicable for your course. Usually special circumstances have to apply.

  • Provide an explanation of the circumstances that you believe entitle you to a dispensation (special circumstances).
  •  Enclose relevant documentation or mention that you will forward it should you be unable to provide it at the time of application.

If you have dyslexia, dyscalculia, a mental health diagnosis, neurological disorder, or a physical disability, you have the option to apply for special exam conditions in order for the university to accommodate your needs. 

For this, you will need to apply to the Study Board  in good time before your exam takes place. For Summer exams, please apply before 1 April, and for the Winter exams before 1 November. Please be aware that for students taking courses at master’s level in Esbjerg there are other deadlines than mentioned above, because of their quarter structure. Please contact Student Services for more information. 

The Study Board will need to know what courses you are registered for, what your needs are, what accommodations you are used to at your home university, and to see official documentation for your condition. 

The Study Board will process your application at one of their monthly meetings and send you their decision to your SDU student e-mail.

 

You may need to leave SDU before your exams are done, for example if you are to attend the re-examinations. The re-exams could be scheduled to take place after you have gone home but if they are oral exams or written in-situ exams, they require your presence. 

In this situation, you may apply for permission to take the exam from your home country. For oral exams, this could mean having the exam over video conference. For written in-situ exams, you may be asked to find an official location and an invigilator for the exam or perhaps the type of exam may be changed to be better suited to your situation. 

Please apply to the Study Board as soon as you become aware of your need/potential need and explain your situation, if you need to take an exam that requires your attendance at SDU after you have ended your exchange stay. 

 

You may experience overlap of exams, where two exams are scheduled for the same date and time. The Study Administration do everything they can to avoid overlap but unfortunately, it is not always possible because exchange students combine courses across different study programmes. 

As you cannot work on two exams at once, you may apply to have one exam moved. Please apply to the Study Board in good time. 
Typically, you will be given the option to move one of the exams to the date of the re-exam for that particular exam. The type of exam that is described in the course description for the re-exam would then be the kind of exam you would be expected to attend. 
In your application, please provide information about which exams overlap, which of the exams would you like moved and if you need for the moved exam to be scheduled for you to take it from your home country (see above). 

The Study Board or Head of Study will make a decision and send it to your SDU student e-mail.
