Digital Diploma at SDU

All diplomas from SDU will be issued as a digital document, as of  January 2018. 

The diploma is produces by the university according to guidelines described in the regulatory framework

Your diploma from SDU consist of a series of up to 6 different files:

  • A discription of the digital diploma
  • Description of the degree obtained
  • Transcript
  • Competence Profile (DK, seperate document)
  • Competence Profile (UK, seperate document)
  • Diploma supplement (UK, seperate document) 

Your  ph.d. from SDU consist of  two documents:

  • Description of the degree obtained
  • Transcipt of courses completed

At SDU, we aim to make the diploma available at the earliest convinience, but in busy periods where many students are graduating, waiting times can be expected up to the 2 months (July not included).  The examinations order stipulates the deadline for an university to produce a diploma and make it available to the graduate.

In the meantime, you can always print a transcript of passed subjects from your Student Self Service, before your diploma is made available in the Digital Diploma Mailbox. The transcipt has an embeded signature, thus proves fully valid. 

Ph.d Diploma

The Ph.d diploma is not regulated by the Examination order but SDU strives to issue the diploma within a mounths time. It may vary depending on vacation time ect.

If you want to use your diploma abroad, it's a good idea to contact the recipient first, to ask more about the formal requirements. In the meantime, you can read more about the following:

Apostille - legalisation of Danish documents
Apostille is an international standard, that can be applied official documents to establish their verification towards foreign institutions and other actors.  A diploma from SDU can be used abroad, with an apostille endorsement from the legal office of the Ministry of Foreign Affairs. 

If you want your diploma apostille endorsed, you must upload it through your digital diploma mailbox. See the "Legalization" tab in your digital diploma mailbox, where you will find instructions on how to proceed.

You can attach:

  • A description of the Danish educational system
    You can attach a standard description of the higher educational system. Please find it at the Ministry of Higher Education and Science. Standard description of the Higher Education in Denmark
  • 7-point grading scale
    You can attach a description of the Danish 7 point grading scale. Please find it at the Ministry of Higher Education and Science : 7-Point grading Scale
  • Diploma supplement

    University of Southern Denmark issues a Diploma Supplement in English automatically and free of charge as a supplement to the diploma of completed bachelor and master's degrees.  The Diploma Supplement contains a description of the degree including content, extent, level and professional qualifications. In addition, the Diploma Supplement contains a description of the University of Southern Denmark and the Danish educational system.  See an example here:

Shall I use a signed paper copy of my diploma? It will usually not be necessary to get your printout of the digital diploma certified with stamp and signature, as the diploma is secured with a verification link. The link-address can be entered into an internet browser, whereby the diploma recipient can access the original diploma on the SDU server. If a third party demands a "wet copy", you can have your diploma stamped and signed, by contacting the Student Service at Campus Odense,  Kolding, Slagelse, Esbjerg or Sønderborg. 

All pages in the personal documents (degree statement and result overview) are secured with an embedded verification link that allows the recipient of the diploma to view the document directly from the SDU server.
  In this way, SDU achieves a high level of security in relation to the use of the digital diploma and the recipient obtains a high level of assurance that the received diploma is genuine.

 

 

A valid digital diploma must contain a verification link. If the link is removed from the diploma, the diploma is no longer valid documentation for degree and results from SDU.

SDU maintains a copy of your diploma on the university's secure serve. A verification link will be embedded on the diploma. If the recipient of the diploma click on the link, he or she will be able to see the original of your diploma, obtained directly from the university's server. The recipient of the diploma can only see the original of the document on which the verification link exists, no other content in the Digital Diploma Mailbox.

In the Digital Diploma Mailbox, you can send your diploma, directly from the SDU server to one or more e-mail recipients. SDU will be the sender of the e-mail.

In the Digital Diploma Mailbox, you have the option to provide time-limited access to a 3rd party person. Time-limited access can be granted by:

• Selecting which documents 3rd party should be able to see

• Selecting the period in which documents should be visible

• Enter one or more e-mail addresses where the access link is to be sent

In the Digital Diploma Mailbox, you can always see who you have sent documents to, as well as who you have granted 3rd party access to.
